Terms and Conditions of Use

VeritasHub


1. Introduction

These Terms and Conditions govern access to and use of the VeritasHub platform.

VeritasHub is a software platform developed and operated by ConsentHub.nz © and is designed to support structured transparency in the use of artificial intelligence within academic work.

By accessing or using VeritasHub, users agree to comply with these Terms and Conditions.


2. Scope of Service

VeritasHub provides a structured framework for the declaration and recording of artificial intelligence use in academic submissions.

The platform:

  • enables users to document how AI tools are used
  • generates structured provenance records
  • supports institutional review and governance processes

VeritasHub does not:

  • determine academic outcomes
  • replace institutional policies
  • monitor user behaviour outside declared submissions
  • detect or infer AI use

3. User Responsibilities

Users are responsible for:

  • ensuring that all declarations are accurate and complete
  • complying with institutional academic integrity policies
  • maintaining the confidentiality of their login credentials
  • using the platform in accordance with applicable laws and institutional rules

Users remain fully responsible for all content submitted, including any work supported by artificial intelligence tools.


4. Institutional Control

VeritasHub operates under the authority of the institution deploying the platform.

Institutions are responsible for:

  • defining acceptable AI use
  • setting academic integrity policies
  • determining how declarations are reviewed and assessed

VeritasHub implements institutional policy but does not replace or override it.


5. Data Collection and Use

VeritasHub processes only data that is intentionally submitted by users.

This may include:

  • user identity (for authentication)
  • course or submission context
  • AI usage declarations and supporting material

VeritasHub does not:

  • monitor user behaviour
  • track device activity
  • collect data outside the submission process

All data is handled in accordance with applicable data protection regulations and institutional agreements.


6. Data Security

VeritasHub employs appropriate technical and organisational measures to protect data, including:

  • encryption in transit and at rest
  • role-based access control
  • segregation of institutional environments

While reasonable measures are taken, no system can guarantee absolute security.


7. Privacy and Data Protection

VeritasHub is designed to align with recognised data protection frameworks, including GDPR where applicable.

Users may have rights to:

  • access their data
  • request correction
  • request deletion (subject to institutional requirements)

Data processing agreements are established with deploying institutions.


8. Availability of Service

VeritasHub is provided on an “as available” basis.

While efforts are made to ensure reliability and continuity:

  • uninterrupted access is not guaranteed
  • maintenance or updates may temporarily affect availability

9. Intellectual Property

All intellectual property rights in the VeritasHub platform, including software, design, and documentation, are owned by ConsentHub.nz © unless otherwise stated.

Users retain ownership of their submitted content.

By submitting content, users grant the institution the right to use that content for academic review and governance purposes.


10. Limitation of Liability

To the extent permitted by law:

  • VeritasHub is not liable for academic decisions made by institutions
  • VeritasHub is not responsible for the accuracy of user declarations
  • VeritasHub does not guarantee outcomes resulting from use of the platform

The platform provides structured information to support decision-making but does not make decisions itself.


11. Acceptable Use

Users must not:

  • misuse the platform for unlawful purposes
  • attempt to gain unauthorised access
  • interfere with system operation
  • submit false or misleading declarations

Violations may result in suspension of access and referral to institutional processes.


12. Modifications

These Terms and Conditions may be updated from time to time.

Users will be notified of material changes where appropriate.

Continued use of the platform constitutes acceptance of updated Terms.


13. Governing Law

These Terms are governed by the laws of New Zealand unless otherwise required by the deploying institution’s jurisdiction.
